MCR Books
Know your numbers before they become a problem. Every month closes on a consistent date with an exception summary and an action list. Statements are current, reconciled, and ready to use — because “I think we made money?” isn’t a winning strategy.
What you receive
Reliable numbers and a controlled close.
Includes: Monthly bookkeeping, cleanup, close support.
Fit, scope, and what you receive
Who it is for
Service businesses that have outgrown do-it-yourself bookkeeping but are not ready for an internal accounting function. Businesses with a backlog that needs to be brought current.
What you receive
A consistent close date, reconciled financial statements, an exception summary, and an action list every month. Each close ends with decisions, owners, and due dates.
Cleanup
A backlog is scoped as its own project, with a defined end point, before monthly service begins. You know what is being fixed, in what order, and when the books are current. We turn the backlog into a controlled, documented close.
How it is scoped
Priced by cadence and complexity. The fee is stated in the proposal. Transaction volume, the number of accounts, and payroll or inventory activity adjust the price inside a tier; they do not change what the tier does.
Starting prices
Every tier includes a published close date, an exception summary, an action list, one-business-day acknowledgment, and an annual opportunity review. Volume, accounts, and entities adjust the price inside a tier; they do not change what the tier does.
What moves you between tiers is what you need from the numbers, not how many transactions you have. Foundation gives you reliable numbers by a published date. Control adds the cadence to handle obligations and see what is coming. Advisory adds the projections and written recommendations behind owner decisions. Higher tiers start with a larger allowance because they assume a larger business; above the allowance, the same modifiers apply in every tier. Volume, accounts, and add-on tasks adjust the price inside whichever tier you choose, and you may stay in any tier at any volume.
Foundation
Reliable numbers. Books closed by a published date each month; a profit and loss statement and balance sheet you can act on; a clean year-end handoff to the tax return.
CadenceYour documents to us by the 5th. Books closed and delivered by the 20th of the following month; for the three closes that fall in tax season (January, February, and March activity), by the last business day of the month. Both dates are in your engagement letter. Year-end tax package by January 31. Email questions acknowledged within one business day.
Control
You know what is owed, what is due, and what is coming. Recurring obligations are handled on schedule from books that are closed early.
CadenceBooks closed by the tenth business day, held year-round including tax season. 30-minute monthly review call. 60-minute quarterly owner review with a written summary. TPT filed each period before the deadline. 1099s filed each January. Estimated-payment reminders 10 days before each due date.
When to move upIf you have started to need TPT filed, payroll posted, or a monthly conversation about what is coming, Control is the tier: those obligations are handled from books closed by the tenth business day, with a monthly review. Ask us to compare what each tier does.
Advisory
Better decisions before the deadline. Compensation, hiring, purchase, and entity questions are answered with the numbers in hand. Your tax bill is projected during the year, not discovered in April.
CadenceBooks closed by the tenth business day. 45-minute monthly review with a written summary. Quarterly tax projection with revised estimates. 12-month cash forecast updated quarterly. Annual owner tax plan delivered in November. Annual reasonable-compensation review. One 30-minute scheduled call per month on request, within two business days; additional calls are quoted in advance.

- Statements and receipts by the 5th
- Payroll provider reports
- Answers to the exception list within five business days
Onboarding is a one-time fee: $600 at Foundation, $900 at Control, $1,200 at Advisory. We build or review your chart of accounts, connect your bank feeds, tie your opening balances to your last filed return, and set your close calendar. If your books are not current, we complete a diagnostic first and quote the cleanup before monthly service begins. Service is month to month with 30 days' written notice. We re-issue the engagement letter each year after the September price review. Fees are billed on the 1st by automatic payment. We review prices each September with 60 days' notice. We onboard new bookkeeping clients May through January; February through mid-April is reserved for tax season.
Notes
We close on the scheduled date with open items flagged rather than holding the close.
We do not process payroll or file payroll tax returns. We post and reconcile from your payroll provider's reports.

Growing service firm
A Phoenix physical therapy clinic, S corporation, six employees
$885 per month- Situation
- The clinic also sells retail products (TPT retail class, one license, one location), runs payroll through a provider, pays eight 1099 vendors, and has five bank and card accounts with about 320 transactions a month. The owner learns the TPT balance and the payroll liabilities weeks after the fact.
- Scope
- MCR Books Control at $750 + one account above the Control base $35 + one additional 100 transactions (or part) $100. TPT filed each period from closed books, payroll posted and reconciled to the provider's reports, 1099s for eight vendors, and the compliance calendar are inside the tier. Books close by the tenth business day, tax season included; the owner sees cash, revenue, gross margin, and owner compensation against last year on one page each month. Form 1120-S with Arizona Form 120S: $1,250, because we closed the books. Household return: standard $300; the K-1 is $0 and Form 7203 is included because we maintain the basis schedule; other add-ons as the household's documents trigger.
- Next decision
- Owner compensation for 2027. We recommend the reasonable-compensation review ($500) before the first 2027 payroll.
